Why webinars need a different approach
A Zoom Webinar separates panellists from attendees, and attendees cannot simply be added the way meeting participants are. They join through the webinar registration path instead.
Because of that extra step, webinar attendees are priced differently from standard meeting participants. You select the webinar type when you create the task and the correct joining method is used automatically.

Before you run a webinar session
Webinars are stricter than meetings, so check these first:
- The webinar is live, not merely scheduled
- Registration is either open or disabled, not restricted to approved emails
- Authentication requirements are switched off, since sign-in walls block guests
- You have enough credits, as webinar attendees cost more than normal participants
Choosing how many attendees and for how long
Audience size is usually driven by how the number will be seen. If the attendee count is visible on a shared screen or in a recording, pick a figure that matches the size of event you are presenting: a niche technical session with two hundred attendees reads as implausible, while thirty to sixty looks like a healthy turnout for most professional webinars.
Duration matters as much as headcount. Attendees who all leave at the same minute are conspicuous, so if your webinar runs an hour, ordering attendees for the full hour produces a steadier curve than a short burst at the start. You set the duration per task, so you can also stagger two smaller tasks a few minutes apart rather than sending one large block.

Checking the audience during the session
Once the webinar is running you can read the live attendee list from the dashboard and compare it to what you ordered. The check reports how many of your attendees are genuinely present rather than assuming they all stayed.
If some have dropped, a refill re-sends only the missing ones and does not charge you again for attendees you already paid for. That distinction matters on long webinars, where natural attrition would otherwise cost you twice.
